Document Classification Panel

Allows users to select how the document is classified. This will select which metadata is available for the document. Selecting the "Invoice" classification will allow the user to assign invoice-related metadata fields to the document (Invoice Amount, Invoice Date, Invoice Number, etc.)


Lookup Panel

(Matter lookup in the example to the right), will allow the user to lookup a key metadata field in another system. This lookup can be used to identify a vendor, client, customer, project or other metadata in a third-party system such as Oracle Financials, SAP, Law Manager or PC Law.


E-Mail / Attachment Panel

Will list the e-mail (display the subject name) and any attachments to the e-mail. If the color of the text for the e-mail is red, it indicates the e-mail has not yet been stored in the repository. If the text for the e-mail is green, it indicates the e-mail has already been saved to the repository. The color of the text for the attachments also indicates if the attachment has been stored in the repository.


Document Properties Panel

Where all the document metadata that is either pre-populated upon arrival or will be entered by the user is shown.

Outlook Integration for Alfresco

Eliminate Duplicate Emails & Streamline the Save & Search Process



Micro Strategies' Outlook Integration for Alfresco eliminates saving multiple copies of the same e-mail and makes it easy for users to save e-mails and attachments into a repository with the appropriate metadata. Users can click the "Save to Alfresco" button and are provided with a screen they can use to identify what type of document they are storing as well as assign the appropriate metadata.

Avoid storing the same e-mail in your Alfresco repository twice or even three times! When a customer sends three people at your company the same e-mail, all three people will save the e-mail and as a result, that email exists in the repository three times. The MSI Outlook integration for Alfresco will not only prevent this from happening, it will give the user a warning before they attempt to save the e-mail. The system can also prevent the user from saving the same attachments in the repository multiple times.

Users can select a number of e-mails from their inbox or they can open an e-mail and click the "Save to Alfresco" button in the Add-Ins menu. Once they click the "Save to Alfresco" button, they will be presented with the Save to Alfresco screen below. This will allow the user to identify the e-mail and attachments individually for searching.

The e-mail will be saved as it arrived in the user's inbox (any attachments included); to ensure that the user will have a copy of exactly what was attached to the original e-mail. It will also be stored in its native format, in the event it needs to be forwarded to someone who does not have access to the Alfresco repository.

This integration requires a very light add-in be installed on the client. The screens and logic used for identifying the document are stored on the server.

Users also have the ability to attach documents from the Alfresco repository when creating an e-mail. While composing the e-mail, the user clicks Add-Ins and then "Attach from Alfresco" to be able to navigate to the appropriate file and click attach.
